Docketing / Calendaring / Scheduling
Calendar management and legal docketing functionality are available to either individuals or groups of users, for specific practice areas or firm-wide. The docketing module is tightly integrated with Microsoft Outlook, providing bi-directional synchronization of all items.
Task / To-Do / Tickler Management
To-Do management is completely integrated with the balance of the Client Profiles system. Users have the ability to launch and manage individual To-Do items, To-Do packages (chained events) and To-Do items connected to appointments, documents and other transactional events.
Contact Management / Related-Party Database
The card file or contact management module of Client Profiles is a sophisticated related-party database. Contacts (or card file entries) are organized in a central database by party type or category. The information tracked by party type is highly customizable to ensure that critical information pertinent to the specific type of party is available for management. The Client Profiles card file module serves as a CRM (customer relationship management) system, an electronic Rolodex, an expert database and a powerful conflict of interest system.
E-mail / Messaging Management
E-mail management is one of the most popular components of the Client Profiles system. A large percentage of Client Profiles customers are using Microsoft Exchange or Outlook for their electronic mail. Client Profiles users have the ability to attach or associate Outlook e-mail messages to Client Profiles client, matter or case files. These messages may then be viewed from a user’s case perspective. This technology allows users to organize and manage electronic mail messages on a case–by-case basis, eliminating the practice of storing important messages in individual folders that are not easily accessible by other users.
Time Capture / Time Entry System
Client Profiles has developed a time capture/time entry system that allows users to keep track of time while working on case files. The timekeeping/time capture component is designed for the specific requirements of the implementation. When activated, users are prompted to enter time when completing tasks, generating documents, sending e-mails and much more.
Document Management
Built within the Client Profiles case management application is a full-featured, powerful document management system. Each document in the system is connected to an electronic “index card” or document profile. All the case-related documents are attached to a matter and organized by document type, subtype, version, and user or practice group. The document library can be searched by any of these fields, as well as by date of production, incoming or outgoing document, and document keywords. Client Profiles also allows for version control, audit tracking and advanced security within each document.
Key Word Searching
In addition to searching by document index cards, Client Profiles has an integrated full-text indexing system that allows users to search based on key words or phrases, and to take advantage of Boolean search logic.
Document Assembly
The document assembly module of Client Profiles represents a significant attribute to the application. Tightly integrated with the document management and To-Do management modules, the document assembly system allows users to generate documents based on a set of preconfigured Word, WordPerfect or PDF templates. This module is very sophisticated and allows users to rapidly create documents by pulling the data from the case information database, pulling the merge document from the predefined modules, building the document management profile card, storing the document in the specified case file, launching the specified follow-up To-Do item(s) and generating a time entry.
Conflict of Interest / Conflict Avoidance
One of the powerful components of the Client Profiles related-party database is that the card file system builds a comprehensive conflict of interest/conflict avoidance database. As new card file entries are input into cases and their position or role with the case is identified, the system automatically captures that information for conflict searching. Users have the ability to run both formal and ad hoc conflict searches against the related-party database. From a management standpoint, conflict searches are automatically recorded on the individual cases, and a “conflict clearing” report allows managers to identify when the due diligence on a conflict analysis has been completed.
Case Information Tracking / Law Type Information Management
Approximately 80 predefined case information tracking screens are standard components of the Client Profiles case management module. In addition, firms have the ability to create as many custom screens, custom tabs and individual custom fields as necessary. This functionality allows practice groups or case types to be highly customizable. This customization is more accurately defined as “case type tailoring” and is normally handled by in-house systems managers without the assistance of or development by Client Profiles.
Case Information Reporting / Management Reporting
Approximately 150 standard transaction reports and/or data queries are standard with the Client Profiles system. In addition to these standard transaction reports, there is a case list reporting module that allows users to generate reports based on more than 500 variables. The Client Profiles database is tightly integrated with Microsoft SQL reporting services and Crystal Report Writer, allowing users to easily create custom reports.
Microsoft Exchange / Outlook Integration
Client Profiles has worked closely with Microsoft to develop the most tightly integrated Outlook/Exchange integration module available in the market. Client Profiles integration, now entering its third generation, allows for direct loading of Outlook from within Client Profiles and direct loading of Client Profiles from within Outlook. Users will have the option of inputting or managing transactions in either system, and if anything changes, the associated adjustments will automatically propagate to the other database. Client Profiles provides direct integration with the following Microsoft Outlook modules:
