eRouter Frequently Asked Questions
How do I know if I have the latest version of eRouter?
Under the Start menu, click on the eRouter folder, then Check for Software Updates.
You can also click here to go to our update page.
What are the hardware requirements?
Currently, eRouter requires a non-Celeron Pentium-based processor and at least 2GB of RAM. You should have about 40GB of free hard drive space minimum, more if you plan on storing documents long-term on the PC (most of your documents will be routed somewhere else). We recommend that you utilize a touchscreen monitor to get the full functionality out of eRouter (it is not necessary, but it was designed to work best with one). If you would like to use the Burn to CD functionality, the PC will also need to have a CDR drive as well.
What scanners can I use with eRouter?
Any device that can scan to a network folder or has a TWAIN driver will work fine. That includes just about every stand-alone desktop scanner as well as multifunction copiers that have a scan option. Not all manufacturers implement their scanning interface in the same manner, so we recommend that, if possible, you try out a device in your environment before purchasing it. While virtually all scanners will work with our software, there may some differences in how easy they are to operate.
NOTE: It appears that the Kodak i1120 ScanMate scanner has an issue with its TWAIN driver and does work correctly with our software. This is the only TWAIN scanner known at this time to not be compatible.
What email servers can I use?
You can email documents using either SMTP, Exchange or Groupwise.
What is the difference between SMTP and Exchange?
When sending email via SMTP, the user is prompted to enter their “From” email address. If the email is not successfully delivered to the recipients, it will get returned to the address indicated in this field. If the user forgets to enter this information or a generic address is used, the user will not know that the email was not successful.
When sending via Exchange, the email will be sent from the current user’s Outlook mailbox. This means that not only will the email get returned to the appropriate sender if unsuccessful, it will also appear in the user’s “Sent Items” folder within Outlook. The down side to using this email configuration is that in order to know which mailbox to send the email through, the users are required to enter their network username and password each time they wish to scan a document.
I scanned a document at the copier, but it is not showing up on the eRouter.
By default, eRouter accepts scans only in TIFF format. You should setup your copier to scan in this format to the folder specified in the Configuration Utility. If you scan a document and it does not appear on the eRouter, it may have been scanned in PDF format. To verify this, click on the Utilities button on the main screen, then click on View Scan Folders Contents. This will display a list of any files in the folder that eRouter is monitoring.
What if I can only scan to PDF?
If your copier will not allow you to scan in TIFF format, you will need to have eRouter convert the PDF files before it can process them. Be aware that this process takes additional time, therefore you should scan in TIFF format whenever possible. To enable the option to accept PDF files, there is a check box in the Configuration Utility labeled “Accept PDF files for incoming scans”, which needs to be checked.
How do I configure the AutoFix button?
In the Configuration Utility, click “Next“ until you get to the screen that says “AutoFix button will perform the following functions“. Place a check mark next to the functions you want to execute when users click the AutoFix button.
How do I add a new Bates prefix?
Go to the Bates screen and select “New” from the list of prefixes.
How do I remove items from the Bates prefix list?
The eRouter configuration file contains the list of previously used prefixes. To remove any entries, you will need to edit this XML file and remove them manually. The file is typically located in the C:\Program Files\eRouter folder and is named “erouter.xml”. We recommend that you not edit this file directly, but email it to our Support Dept and specify which prefixes you would like removed. If you feel comfortable editing the file yourself, open the file using Notepad or another text editor. Locate the section <bates>. Each prefix will have an entry in the format: <prefix>ABC</prefix>. Be sure to delete the starting <prefix> tag and the ending </prefix> tag (with the slash).
How do I add a custom rubber stamp?
Any bitmap files that are located in the \Stamps folder under the eRouter folder will appear in the rubber stamp list. Just create a bitmap image of the stamp you would like to use and save it to this folder. The filename will be used as the stamp name. There is currently a “Confidential.bmp” file in this folder that you can use as an example.
Can I disable the prompt that asks “Are you sure you are done working with this document”?
The last screen of the Configuration Utility has a check box labeled “Bypass confirmation on Finished button”. By checking this option, you will no longer get prompted.
Can I have all documents sent to a specific destination be in PDF format and not prompt the user?
Yes, you can specify the file format on any of the buttons so that the user is not prompted. In the Configuration Utility, press the button “Configure Buttons”. Under each button is a Params box. If you enter “filetype=pdf”, this will cause eRouter to always save in PDF and not prompt the user. Here are a list of the values and the corresponding file types:
Value Format
tif TIFF
pdf Regular PDF
spdf Searchable PDF
pdf-e Regular PDF with encryption
spdf-e Searchable PDF with encryption
doc Microsoft Word
wpd WordPerfect
txt Plain text
Can I have a button that automatically goes to a specific folder without prompting the user?
Yes, by using the Params field explained above. Set the Operation of the button to “folder” and then specify the path in the Params field using the “path=” parameter. For example, to have a button save to the F:\Scans\Mail folder, you would enter this value in the Params field: “path=f:\scans\mail”. You can also specify the file format by separating the values with a semicolon (;). For example, “path=f:\scans\mail;filetype=pdf”.
Can I use eRouter with my fax server?
You can use your fax server’s printer driver to send faxes through eRouter. Just create a new button and enter “Fax” as the caption. In the Operation list, select “Print”. In the Params field, enter the exact name of the printer driver name for the fax driver using the “printer=” parameter. For example, “printer=RightFax”.
When trying to save to a folder on our network, I get the error “Path/File access error”.
Make sure that you have rights to create files in this folder. The easiest way to determine if this is the issue is to copy a file into this folder using Windows Explorer. If that is successful, please call our Support Dept to further troubleshoot the issue.
I filed a document into a case in Client Profiles, but it is not appearing in the case.
First thing to check is if the Document Importer Service is running on the server. On your SQL Server, click on the Start menu, then Control Panel, then Administrative Tools, then Services. Find the Client Profiles Document Import Service in the list. If the Status column does not say “Started”, then right-click the item and click on Start.
I scanned in a large document, but it should actually be two different documents. How do I separate them?
Click on the Utilities button on the main screen, then select Separate Document. Highlight the first page of each document after the first one and click the button to add a separator. eRouter will then break the one document into multiple documents as specified.
Can I route a document that I received on CD or via email?
Click on the Utilities button on the main screen, then select Import Document.
